Personal sympathy cards after a pet dies, written in minutes
The problem
Sending a sympathy card after a pet dies means a lot to owners, but finding the right words after a hard day is draining. Cards get delayed, or end up the same generic sentence for everyone.

How it gets solved
AI suggests a few warm, personal lines using the pet’s name and one memory; the team copies them by hand on a card and signs it within a day.
Example: after a difficult goodbye, the nurse writes down three words about the dog: “Bella, loved the treats jar, always wagged at the door”. Two minutes later she has three short drafts, copies the one she prefers onto a card, and the whole team signs it before the end of the day.

How to switch it on
- 1
Keep a box of plain cards at the desk.
- 2
After a pet dies, write down the pet’s name and one or two real details the team remembers. Don’t type the owner’s surname or contact details into the AI.
- 3
Paste the prompt below into the AI you already use (ChatGPT, Claude, Gemini…) and pick the draft that feels right.
- 4
Copy it by hand onto the card, adjust the words to your own voice, and ask the people who knew the pet to sign.
- 5
Post it within a day or two. Don’t include bills or offers in the same envelope.
Template and prompt
Works with the AI you already use: ChatGPT, Claude, Gemini or others.
Privacy: Don’t paste the owner’s personal details (surname, phone, address, email) or the pet’s clinical record into the AI; use only the pet’s name and a general memory. Add the owner’s name yourself, by hand, on the card. AI here is only for finding the right words, never for diagnosis or clinical advice.
AI prompt (copy and paste):
Help our veterinary team write a short handwritten sympathy card to an owner whose pet has died.
Pet’s name: [name]. Species: [dog / cat / …]. One or two things we remember: [e.g. always wagged at the door, loved the treats jar].
Write 3 different versions, each 3–4 sentences, warm and simple. Use the pet’s name, mention the memory, and acknowledge the love and care the owner gave. Do not say “they’re in a better place” or anything religious, do not mention the cause of death or any medical detail, no clichés, no offers or bills.
Example card:
Dear {owner_first_name}, we were so sorry to say goodbye to {pet_name}. We’ll always remember how {memory}. You gave {pet_name} a lot of love and care, right to the end. With warm thoughts from all of us at {practice}.Tools you can use
